Position Overview
The Office Manager plays a key role in ensuring the smooth and efficient operation of daily business activities. This position supports leadership and project teams by managing administrative processes, coordinating office functions, and maintaining accurate records. The ideal candidate is organized, detail-oriented, and thrives in a fast-paced, service-driven environment.

Key Responsibilities

  • Oversee day-to-day office operations, including phone and email communication, scheduling, and office supply management.

  • Maintain accurate and compliant job files, ensuring proper documentation for company and industry standards.

  • Coordinate scheduling of field crews, subcontractors, and equipment for ongoing projects.

  • Process and assign incoming leads to the appropriate project managers in a timely manner.

  • Manage and update records for clients, vendors, and insurance partners within internal systems.

  • Support human resources activities, including onboarding, timekeeping, and maintaining employee files.

  • Serve as the primary point of contact for clients, vendors, and insurance adjusters when needed.

  • Generate and distribute reports related to project progress, office performance, and financial tracking.

  • Ensure adherence to company policies, safety regulations, and compliance requirements.

Qualifications

  • Minimum of 3 years of experience in office management, administration, or related role (experience in construction or restoration industries preferred).

  • Proficient in Microsoft Office Suite (Word, Excel, Outlook); experience with restoration management software (such as Xactimate, DASH, or similar) is a plus.

  • Strong communication and interpersonal skills with a customer service mindset.

  • Proven ability to manage multiple priorities and meet deadlines in a dynamic work environment.

  • Highly organized with excellent attention to detail and problem-solving skills.
