Position Summary:

We are seeking a highly organized and proactive Executive Administrative Assistant to provide high-level support to our executive team in a fast-paced construction environment. The ideal candidate will be detail-oriented, resourceful, and capable of handling a wide range of administrative and executive support tasks with minimal supervision. This role is critical in ensuring smooth day-to-day operations and supporting strategic initiatives.

Key Responsibilities:
 
  • Provide comprehensive administrative support to executives, including calendar management, travel arrangements, expense reporting, and correspondence.
  • Schedule and coordinate meetings, conferences, site visits, and presentations across multiple departments and external stakeholders.
  • Prepare reports, proposals, presentations, and other documents using industry-specific terminology and formatting.
  • Track project timelines, milestones, and deadlines; assist in ensuring compliance with contract requirements and project schedules.
  • Pull permits and other documentation needed in a timely manner.
  • Act as a liaison between executives, project managers, vendors, subcontractors, and clients.
  • Maintain confidential records and filing systems, both digital and physical.
  • Assist with office management duties, such as ordering supplies, coordinating maintenance, and managing service providers.
  • Help ensure compliance with construction safety documentation and licensing requirements.
  • Monitor and prioritize incoming communications, ensuring timely and appropriate responses.

Qualifications:
 
  • Education: Associate’s or Bachelor’s degree preferred.
  • Experience: 3–5+ years of experience as an executive or senior administrative assistant, preferably in the construction industry.

Skills:
 
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook); knowledge of project management software is a strong plus.
  • Excellent written and verbal communication skills.
  • Strong time management and multitasking abilities.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Familiarity with construction terminology, documents (RFI, submittals, change orders), and scheduling practices is desirable.
