ICX Group is seeking an Office Assistant / AP & Payroll Support specialist to join a long-standing, specialty industrial fabrication and construction firm in the East Chicago, IN area.

The Office Assistant will be a dependable and detail-oriented contributor, providing essential support to the administrative and accounting functions, particularly focusing on Accounts Payable, billing support, and payroll processing. This position is critical to supporting the firm's busy fabrication and field operations.
Job Duties:

Assist with Accounts Payable functions including data entry, invoice matching, filing, and record maintenance.

Support all phases of payroll processing, including time entry verification.

Perform transaction entry and management within the company's Construction & Real Estate (CRE) accounting software.

Maintain and organize both paper and digital files for accounting, purchasing, and job documentation.

Provide administrative support to project managers and estimators, which may include job setup, purchase order tracking, or billing document preparation.

Handle general reception duties, such as answering phones, greeting visitors, and routing calls/messages.

Prepare correspondence, reports, and spreadsheets using Microsoft Office (Excel, Word, Outlook).

Ensure company records are accurate, complete, and properly filed.

Perform other general office duties to support overall business operations.
Job Requirements:

Strong organizational skills and exceptional attention to detail.

Basic understanding of bookkeeping or accounting processes (AR/AP/Payroll).

Proficiency with Microsoft Office (Excel, Word, Outlook).

Ability to handle confidential information with discretion and responsibility.

Comfortable working efficiently within a paper-based workflow environment.

Strong communication and interpersonal skills.
Preferences:

Experience using Sage 300 CRE or a similar ERP/accounting system.

Prior experience in a construction, fabrication, or industrial environment.

Familiarity with union payroll processes or job-cost accounting.
